PRAIRIE PRINTING

Privacy Policy

Effective date: September 9, 2026

This Policy explains what information Prairie Printing collects, why we need it, how it may be shared and the choices available to you.

1. Introduction

Prairie Printing (“Prairie Printing,” “we,” “us” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you visit prairieprinting.ca, create an account, request a quote, upload files, use a product-design tool, place an order or otherwise communicate with us.

We handle personal information in accordance with applicable Canadian privacy laws, including Alberta’s Personal Information Protection Act (“PIPA”) where it applies.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Identity and contact information: name, company name, billing and shipping address, email address and telephone number.
  • Account information: username, encrypted password, saved addresses and account preferences.
  • Order information: products, quantities, specifications, pricing, proofs, approvals, pickup or delivery instructions, order notes and transaction history.
  • Artwork and production files: photographs, logos, designs, documents, text, fonts, dimensions, crop settings and other content submitted for quoting, design or production.
  • Payment information: payment status, transaction identifiers and limited payment details supplied by our payment provider. Prairie Printing does not ordinarily receive or store complete payment-card numbers entered through the online checkout.
  • Communications: emails, form submissions, quote requests, design instructions, feedback and customer-service records.
  • Technical and usage information: IP address, browser and device details, cookie identifiers, referring pages, pages viewed, cart activity, login activity and diagnostic or security information.

3. How information is collected

We collect information directly from you when you complete a form, create an account, upload files, use a designer, place an order, approve a proof, contact us or provide information in person. We also collect limited technical information automatically through cookies, server logs and similar technologies.

We may receive information from service providers involved in a transaction, such as payment processors, shipping carriers, website platforms and product-design tools.

4. How we use personal information

We may use personal information to:

  • prepare quotes and recommendations;
  • review, design, proof, manufacture and quality-check products;
  • process payments, refunds, credits and fraud checks;
  • create and administer customer accounts;
  • arrange pickup, delivery, shipping and order tracking;
  • communicate about questions, proofs, production and support;
  • retain production information for reorders and customer service;
  • operate, secure, troubleshoot and improve our website and services;
  • maintain business, tax, accounting, warranty and legal records;
  • prevent misuse, fraud, infringement and security incidents; and
  • send marketing communications where permitted and provide unsubscribe options.

We limit collection, use and disclosure to purposes that are reasonable and appropriate in the circumstances or otherwise permitted by law.

5. Consent and choices

Consent may be express or implied depending on the sensitivity of the information and the circumstances. By voluntarily submitting information for a quote, order or service, you consent to its use for the purposes reasonably necessary to respond and complete that transaction.

You may withdraw consent for optional uses by contacting us, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may prevent us from providing a requested product or service where the information is necessary to complete it.

6. When we disclose information

Prairie Printing does not sell or rent personal information. We may disclose only the information reasonably required to:

  • process payments through providers such as Square;
  • calculate, purchase and manage shipping through carriers and shipping platforms such as Chit Chats;
  • host and operate our website, online store and customer accounts;
  • provide online design, artwork-processing and file-upload functionality;
  • deliver transactional email, prevent spam and maintain security;
  • obtain professional accounting, legal, insurance or technical support;
  • complete a business transaction such as a sale or reorganization, subject to appropriate safeguards; or
  • comply with law, a court order, lawful government request, or protect rights, safety and property.

Service providers may use information only for the services they perform for us, subject to their own legal obligations and contractual arrangements.

7. Processing outside Alberta or Canada

Some website, payment, email, design, cloud-storage or support providers may process or store information outside Alberta or Canada. When information is processed in another jurisdiction, it may be accessible to courts, law-enforcement or regulatory authorities under that jurisdiction’s laws.

Contact our Privacy Contact using the details below if you have questions about service providers outside Canada or our related policies and practices.

8. Cookies and similar technologies

Our website uses cookies and similar technologies needed to operate features such as the shopping cart, checkout, customer accounts, security, saved preferences and product-design tools. Cookies may also help us understand website performance and diagnose problems.

You can restrict or delete cookies through your browser. Blocking essential cookies may prevent the cart, checkout, login, uploads or design tools from functioning correctly. If we introduce non-essential analytics or advertising technologies, this Policy and any available consent controls should be updated accordingly.

9. Payment information

Online payments are processed by third-party payment providers, including Square. Payment details entered into a provider’s secure interface are handled under that provider’s privacy and security practices. Prairie Printing receives transaction information needed to confirm payment, reconcile orders and address refunds or disputes, but does not ordinarily store complete card numbers or card security codes.

10. Shipping and delivery information

We disclose names, delivery addresses, contact details, package information and other necessary order information to shipping providers and carriers where required to rate, label, track and deliver an order. Delivery providers handle this information under their own privacy practices and legal obligations.

11. Uploaded artwork and production files

Uploaded files are used to review, quote, design and produce your order and may be retained to support production, reorders, quality review and customer service. Prairie Printing does not sell customer artwork or independently reproduce it as a standalone product without permission.

Do not submit unnecessary sensitive personal information in artwork or order files. Customers are responsible for having authority to provide personal information relating to other people that appears in submitted files.

Completed-work photography

Our Terms & Conditions explain when Prairie Printing may photograph completed printed products for our portfolio, website, social media, promotions or advertising. This does not transfer ownership of the original artwork.

To keep an order private, write “KEEP PRIVATE — DO NOT PHOTOGRAPH OR PUBLISH” in the order notes during checkout or notify us in writing before production.

12. Retention and disposal

We retain personal information only as long as reasonably required for the purposes described in this Policy, including order fulfilment, reorders, customer service, tax and accounting obligations, warranty or dispute handling, security and legal requirements.

Retention periods vary by record type. When information is no longer required, we take reasonable steps to delete, anonymize or securely dispose of it. We do not guarantee permanent retention of customer artwork; customers should keep their own copies.

13. Security

We use reasonable administrative, technical and physical safeguards appropriate to the nature of the information. These may include access controls, account authentication, secure connections, software maintenance, limited staff access and trusted payment processing.

No website, transmission or storage system is completely secure. Customers are responsible for protecting their account credentials and notifying us if they suspect unauthorized account activity.

14. Access, correction and other privacy rights

Subject to applicable law, you may make a written request to access personal information Prairie Printing holds about you or ask us to correct an error or omission. You may also ask questions, withdraw consent for optional uses or request deletion of information that we are not legally or operationally required to retain.

We may need to verify your identity before responding. Access may be limited where permitted or required by law, including where disclosure would reveal another person’s information, confidential commercial information or information protected by legal privilege.

If a privacy concern is not resolved directly with us, you may contact the Office of the Information and Privacy Commissioner of Alberta.

15. Marketing communications

We send commercial electronic messages only where permitted by law. You can unsubscribe from marketing email using the link provided in the message or by contacting us. You may continue to receive transactional messages relating to quotes, orders, payments, proofs, pickup, shipping or customer service.

16. Children’s information

Our website and services are intended for customers capable of entering into a purchase agreement and are not directed to children. We do not knowingly collect personal information from children without appropriate authorization. Contact us if you believe a child has submitted personal information without proper consent.

17. Third-party websites and tools

Our website may link to or integrate third-party services. Their privacy practices are governed by their own policies, and Prairie Printing is not responsible for third-party websites or services outside our control. We encourage you to review a provider’s privacy information before submitting sensitive information.

18. Changes to this Policy

We may update this Privacy Policy to reflect changes to our services, providers, technology or legal obligations. The revised Policy becomes effective when posted with a new effective date. Material changes may also be communicated through the website or another appropriate method.
